Hardware store POS & ERP
Point of sale, inventory, credit sales, deliveries and accounting for a hardware shop, built on Odoo 19.
About the project

- Rolling out
A hardware shop sells everything from boxed power tools to loose nails by the kilo. Generic POS software struggles with that mix, with stock whose cost changes from one delivery to the next, and with contractors who buy on credit.
We set up Odoo 19 Community for Vajira Hardware’s retail shop and configured it around the way the shop sells. Counter sales, stock, credit customers, lorry deliveries and accounting now share one system, hosted in the cloud with automatic off-site backups.
Problems we solved
- Problem
Over 1,000 very different products, many without a manufacturer barcode.
How the system handles itEvery product gets its own shop barcode, so loose and unbranded items scan the same way as boxed goods.
- Problem
Nails, screws, cement and sand are sold by weight at the counter.
How the system handles itWeight entry at the till, with average costing for fast-moving bulk goods.
- Problem
Timber, PVC pipe, cable and paint cost differently from one delivery to the next.
How the system handles itBatch tracking with FIFO costing, and batch numbers that show the delivery date at a glance.
- Problem
Contractors and builders buy on credit.
How the system handles itCustomer accounts with payment terms, credit limits and visible outstanding balances.
- Problem
Only some purchases and sales need VAT.
How the system handles itVAT is applied only where it is needed, so non-VAT sales stay simple.
- Problem
Bulk orders go out by lorry.
How the system handles itDelivery scheduling and tracking for bulk orders.

Built to be reliable
- Hosted in the cloud, so it works from any counter or a manager’s phone with no server in the shop
- HTTPS only, intrusion protection and a locked-down server
- Nightly backups kept on the server and off-site in cloud storage, plus full-server snapshots
- Staff train on a copy of the system, never on live data
- Planned so it can move to a newer Odoo version without disrupting the shop
Built with: Odoo 19 Community, PostgreSQL, Ubuntu 24.04 and Nginx on a cloud server in Singapore, with barcode scanners, receipt and label printers, cash drawers and UPS units at the counters.
